Match cargo and scope before comparing totals

Two freight quotes are directly comparable only for the same cargo, time window, origin, destination and service scope. A lower price per kilogram or cubic metre does not necessarily mean a lower payable total to the same receiving address. This worksheet serves Chinese exporters and marketplace sellers, and UK and European importers sourcing in China.

Give each provider the same product details and properties, carton dimensions and gross weights, readiness date, pickup point, destination postcode, delivery term and named place, clearance arrangements, appointment needs and unloading conditions. If one quote stops at a port and another at a warehouse, obtain the missing stages first. Keep unresolved items visible.

A practical quote-comparison worksheet

This is a blank worksheet, not a rate card. Enter the actual values and terms from each written quote. If an item is absent, mark it “not stated — confirm”; do not assume it is free or included.

Three ways a comparison can go wrong

1. The charging basis differs

Ask whether the quote charges by kilogram, cubic metre, carton, pallet or container. Confirm the air-freight chargeable-weight method or the applicable weight-to-volume conversion, minimum charge and rounding for the quoted product. Do not assume a universal dimensional divisor. Ask both providers to price the same carton dimensions and gross weights.

2. “All-in” is not itemised

Mark pickup, main freight, clearance service, taxes, destination handling and delivery as included, excluded, conditional or unresolved. Match the delivery term and named place. The DDP, DAP and all-in quote guide helps frame these questions. A term alone does not establish tax treatment or an inherently cheaper outcome.

3. Arrival time is confused with signed delivery

Match start and end events, calendar or working days, waiting before departure, destination handover and appointments. For FBA sellable-stock deadlines, check processing after warehouse receipt separately. Record estimated windows separately from confirmed flights or appointments.

Build a comparable payable amount

  1. Use one currency and record the exchange rate, date and conversion basis used.
  2. Add confirmed charges covering the same service scope. Do not count an item twice when it is already included in a bundled price.
  3. Add confirmed mandatory extras and identify who collects them. Keep unknown items unresolved instead of entering zero.
  4. Separate tax budgets, possible recovery and cash-flow arrangements. Verify them against the actual import arrangement rather than subtracting assumed recoveries from freight.
  5. List triggers and charging methods for inspection, storage, waiting and redelivery. Do not assume these conditional costs will always occur or never occur.

Present “confirmed payable amount for the matched scope + unresolved items + conditional-charge rules”. An incomplete low quote is not an established lowest total. There is no fixed saving percentage. Cargo acceptance, an achievable delivery window and service scope also matter.

Confirm in writing before booking

Check that the quote remains valid, cargo and packing details are unchanged, pickup and receiving conditions are accurate, the billing party and payment terms are clear, and responsibilities and exception handling are documented. Before sharing another quote, remove personal information or commercial information you should not disclose. You can provide the comparison items and scope without forwarding the original document.

Copy a comparable-quote request

Select the text, copy it into your email or enquiry, and fill in the blanks. Send the same cargo brief to each provider. The template is not sent automatically.

FAQ

Before you book

Can I compare two forwarders by price per kilogram?
Only when the charging basis, cargo, time window, locations and service scope match. Check chargeable weight, minimums, surcharges and separately payable items, then compare amounts covering the same scope.
Can I assume an unstated charge is included?
No. Mark it as not stated and request confirmation of inclusion, exclusion or triggering conditions. Unknown charges should not be entered as zero.
Is DDP always cheaper or more expensive than DAP?
The term alone cannot establish that. Match clearance, tax, delivery and named-place responsibilities, then verify actual charges, tax conditions and cash-flow arrangements.
Does this worksheet calculate a final landed cost?
It identifies the confirmed amount only when scope, charging assumptions and mandatory charges are established. List unresolved items and conditional charges separately. It provides no fixed freight rates or promised savings.
